Hart Media Distribution Lab (MDL): Checkout Policies

Most material in the Hart Media Distribution Lab is available for in-lab viewing only. We maintain 34 viewing stations with headphones. Some stations have multiple sets of headphones for group viewing. Off-site loan privileges are dependent on the user's affiliation and the type of material. Please see below for more information.


In Lab Viewing

Any UC Davis affiliate with a valid University ID card may checkout material for viewing in the lab. Patrons are allowed to check out one item at a time. When the item is returned to the front desk, another item may be checked out.

Though we do not specify a time due, we ask our patrons to be courteous and return the item promptly after use.


Off-Site Loan

Policies for taking material out of the lab depend on the status of the person checking out the material:

  • Faculty: Upon request, faculty may checkout two videos for two days for academic instruction. Under certain circumstances an extension can be granted by the Hart Lab Manager or CRC Supervisor with the understanding that the item(s) will be returned immediately if recalled by the Hart MDL. Extensions are for a maximum of five days. A UCD ID card or a valid CA Driver's License/ID and UCD ID number is required at the time of checkout. Faculty may checkout items from either the permanent collection or their own Quarterly Materials list.

  • Staff: Staff may only checkout tutorial material for off-site loan. The loan policy is two videos for two days. Staff who are currently teaching a class and need material for academic purposes may checkout under the same conditions as faculty when proof of instructor status is provided. Examples of appropriate proof are: being listed as the instructor on http://registrar.ucdavis.edu or a copy of the course syllabus listing the person as the course instructor.

  • Students: Students are only granted off-site loan permission for Quarterly Reserve material if a signed letter from the faculty or "responsible party" is provided, or if an e-mail from the faculty or "responsible party" is sent to .

    Any letters must be on UCD letterhead and any emails must be sent from the instructor's UCD e-mail account. The permission must include the following information: the complete title of the item(s) and the full name of the student being granted permission.

    At the time of checkout, the students will be asked to provide their UCD email address, permanent phone number, and show a valid UCD ID card. Persons granting permission for off-site student loans will be held responsible for the material being loaned. Items are due back in two days, unless explicitly stated by the instructor or "responsible person" listed on the Course Reserve form.

    Students are not eligible to check out permanent collection material for off-site loan.

Responsibilities of Borrowers and Users of Hart MDL Material and Equipment

Borrowers are responsible for materials checked out to them until they are returned. Borrowers are responsible for any equipment checked out or used to view or listen to material. Borrowing privileges are not transferable; individuals are prohibited from lending borrowed items to others.


Abuse of Hart MDL Privileges

Abuse of borrowing privileges may result in loss of privileges in all Computer Lab Management facilities. Examples of abuse of library privileges include repeatedly not returning materials on time, not responding to recall notices, damage of Hart MDL materials or equipment, and misuse of CLM computers or facilities. Any person who steals or mutilates Hart MDL material or equipment is subject to prosecution under the provisions of the California Education Code.
