Hart Media Distribution Lab (MDL): Placing Material on Quarterly Reserve

The Hart MDL's Quarterly Reserve Service accepts various multimedia material for use during the current academic quarter. All items must be integral to the course curriculum.


Types of Material Accepted

We accept the following media formats: standard definition DVDs, VHS, cassette tapes, and CD-ROMs. Note, if your CD-ROM requires software to be installed, please refer to Computer Lab Management's Software Installation Policy for more information.

The Hart MDL will only accept paper-based items (books, notes, evaluations, surveys, etc.) if they accompany another audio or video item also being placed on reserve. If you only have paper-based items, please refer to the Shields Library Reserve Desk for assistance.

Important Notice: All material submitted for Quarterly Reserve must comply with the University's Copyright Policy (Policy and Procedure manual sections 250-01 and 250-03) specifically as it pertains to Reserve collections. Please see our Copyright Policy for more information.

How to Place DVD, VHS, or CD-ROM Material on Quarterly Reserve

  1. Bring all material to the main desk in 1101 Hart Hall and inform the Computer Room Consultant (CRC) on duty that you wish to place the material on Quarterly Reserve (refer to the Computer Rooms Guide for our hours of operation).
  2. You will be asked to complete a "Course Reserve Request Sheet" and, if you haven't already, a "Faculty Profile Form". Please have the following information available:
    • Class code (e.g. BIS 104)
    • Name, phone number, and email address of the course instructor
    • Name, phone number, and email address of the person responsible for the media (picking up, dropping off, etc.)
    • Days of the lecture (MTWRF)
    • Time of the lecture (starting and ending times)
    • Can the students make copies of the material (copyright policies apply)
    • If a checkout report will be desired at the end of the quarter

Once the course and faculty profiles are in our system, additional material can be submitted for your course anytime during the quarter. Please allow 24 hours for newly submitted material to be available for checkout.

Please note students are only permitted to view material in the lab. Faculty can provide written or emailed permission to allow a student to remove their Quarterly Reserve material from our facility (see Checkout Policy).

Lecture Recording and Distribution

Picking up Reserve Material

At the end of the quarter, the instructor or designated "responsible person" listed on the Course Reserve form will be contacted to pick up the course material. A valid photo ID will be required (UCD ID or CA driver's license) at the time of pickup. Each item on the course list must be physically verified as being returned. Your signature and the date will be required on our pickup sheet.

If requested at the time you submitted the reserve items, a checkout report indicating how many times each item was checked out will be provided.
